We use Ziflow to collaborate with internal and external stakeholders on documents. We primarily use it for proofreading presentations, assets, etc. for grammatical accuracy before sharing with clients.

Ziflow is a great tool to use when collaborating with internal and/or external parties on editing large documents. We hire freelancer proof-readers to review important files, that way we're clear of any grammatical errors before sharing with Clients. Outside of proofreading, I haven't had to use other features of Ziflow much, but I would love to learn other ways to incorporate it in our everyday work flow!

Ziflow helps us applying collaborative work methodologies with a team spread across the world. We manage to achieve higher productivity, reduce the communication noise and limit the number of "parallel discussions" happening on various communication tools adopted by the workgroup (e.g. instant messaging, emails, etc.)
Our use case is the localization, editing and proofing of boardgames.

Ziflow is well suited for publishing processes of all nature - from print products to online publications and even media-enriched publications. It is great for working on the go and submitting notes for immediate feedback using the in-built communication capabilities. I have not found scenarios where Ziflow could be considered not appropriate, given that the scope of Ziflow is very precise and fills a specific niche in the market.

At Princess Auto, we use Ziflow to proof the various documents our design team creates. In the past, we used pdfs on a common server, and it was a mess. Every person reviewing the proof would have to create their own copy so they could put their own comments on it. This meant we had to look at dozens of documents, many of which would have the same comments over and over. Then, the process would start all over again once we finished addressing the comments. With Ziflow, everyone is commenting on the same document, and everyone can see what comments others are leaving so we can have discussions about them inside the proof itself, the proofs are saved online rather than on the server so people can look at them even if they're at home, and new versions of the proofs replace the old ones so even if we go through six rounds of revisions, we're still just dealing with "one" proof.

Ziflow is best suited for medium to large organizations, the kind where 5 or more people from different departments will be commenting on a proof, projects are created via briefs/dockets that are then assigned to another department, projects are likely to go through multiple revisions because the people who initially assigned the work are not graphically inclined, etc. For freelance designers who are dealing with just one client at a time, it would be overkill.

We originally came across Ziflow when looking for a solution for one of our customers who needed to annotate drawings onsite and send between staff members for approval instead of emails, this was the best tool for the job as it kept the current drawings completely up to date. We liked it so much we decided to also start using to speed up the process of getting quotes or estimates authorised when sending to customers as the back and forth on emails always took too long. We love the fact that it works across a wide range of document types and not just stuck with its own format. We use it with pdfs, word and cad drawings.

Ziflow allows multiple departments to have visibility over the progress of the same project. By allowing multiple users to add comments within the same document, we can track all changes in a very organized way. Additionally, Ziflow also allows you to keep historical tracking of all the changes since the beginning of the project for easy reference.

  • When a comment is too long, the email notifications are displayed incomplete.
  • When using "compare mode" with comments, Ziflow leaves little space to look at the actual document. Thecomment section of both proofs combined can easily take up to 50% of your screen.
As a company in the product development sector, the majority of projects require input from different departments, such as, Product Development, Marketing, Social Media, E-commerce, etc. Ziflow is a powerful tool that has allowed us to facilitate what before used to be physical documents passing through each department. A single round of comments could take days. Instead, using Ziflow allows us to have all departments involved add their comments simultaneously if a much faster fashion, making the process more effective and efficient.

We used Ziflow in our organization to streamline the project team to work collaboratively in between our creative rounds. We were running into issues with our different resources using different platforms, updates being missed, version issues, etc. It helped streamline the process and version control when there are multiple rounds for a marketing piece.

  • The navigation isn't as easy as I would've hoped, and some people do feel intimated by it.
  • Making sure all users permissions are set correctly, so they can see and work on the projects at the level needed for their role. It can be tedious, and there can be misses.
Ziflow is great and makes collaboration easy. Depending on how big your project is- you can loop in and tag as many people as you would like. I am a senior project manager who works and manages global teams, and Ziflow made it easy to collate all feedback. I appreciate previous versions are stored so you can go back and review them to ensure all feedback and notes were captured in the "new" versions. Also, having the feature of organizing your proofs into different folders, archives, duplicates is great for file keeping. I always found version control when receiving feedback on creative files, but Ziflow allows you to upload PDFs and docs, and compare them side to side, which helps to ensure everything flowed in correctly. Lastly, the ability to create workflows is incredible and saves you so much time.

Ziflow is used within the marketing department to upload documents, videos, graphics etc for approvals from other teams in the organisation. Ziflow has helped eliminate missing emails with feedback, forgetting about certain tasks and their due date and has allowed us to streamline the process of approvals, making it easier for teams in the organisation to approve and make changes to their design requests.

It allows for an in-depth and easy-to-collaborate review! It helps us make sure that folks across our different departments can easily engage and have conversations about our packaging, manuals, and quick-start guides. Our hearing protection is safety-guided, and there are a lot of details that can very easily get lost in the shuffle. Ziflow makes that a much easier approval process.

We use Ziflow specifically in reviewing our product materials. I wish it was easier for someone to learn the commenting features - it can be a lot to ask them to watch the Ziflow tutorial (10-15 minutes) or schedule time to go over it with each person. It's great for getting really zoomed in and figuring out the details, but this means that sometimes edits are hard to notice between versions. There should be something in the upload feature where you can reflect this more. We've gone around this by adding boxes around areas that are changed for reviewers to quickly approve the appropriate changes. Even small features like a spell check option or MLA/AP style check or if a word should be hyphenated would be great functionality. Could we add this as a feature where we can teach the system what words are needed for our style and it catches any incorrect punctuations or spellings of those?

We use Ziflow to send proofs to our clients for approval. Clients are able to give us feedback on documents, and we're able to clearly relay that feedback to our team. Ziflow is great because it also allows us to send sites to clients for review/feedback.

Ziflow is great for agencies and clients that require feedback from multiple stakeholders on a deliverable. It allows feedback from multiple stakeholders at once. The only catch is that you can see other people's feedback, so the first person who reviews a document's feedback is visible first.

So it's always a challenge how to direct my clients to give us feedback on graphics and designs. It's especially hard for less tech-savvy clients or clients who have a hard time focusing on reviewing a large file and organizing notes. Ziflow makes it sooooooooooo easy for them to go through a document and add a note exactly where they need to give feedback or request a change. It makes my life easier and theirs! It has streamlined the reviewing process so much faster than before!

Ziflow is a must-have for any creative or creative agency. No longer am I hunting down clients non-stop to review something. Most of the time, it's not that a client is lazy or anything. But some less tech-savvy people find reviewing files overwhelming if they don't have good apps. Ziflow solves this problem for them and gives them accountability as there's a visual record now of what they ask and how often they ask it.

Ziflow is extremely useful whenever you need to collaborate on a document that is externally facing. You start by uploading a document, and then add reviewers in. The reviewers can read a brief on what the objective and target audience of the documents are. From there, reviewers can suggest edits, which can be resolved by the author. New versions are easy to upload, and eventually, all reviewers should approve a document before it goes live!

We use Ziflow to get accurate feedback from our clients. Previously it was all via email, and I often received a Word Document with the feedback and screenshots. However, Ziflow allows us to get it faster, easier and collaborate with the client on the feedback. The easy-to-use online portal makes it both fast and easy for our clients to use. It resolves the problem of going back and forth with a client about things they mentioned and not knowing what they were referring to. It makes it easy to get feedback from multiple stakeholders, and everyone is notified about that. It also makes easy revisions to keep it clear and avoid multiple email threads or things being lost due to email issues.

When you require collaboration with multiple parties and stakeholders with both the client and internal team, it makes it easier to have it all in one spot, with everyone able to see what has been pointed out already. It takes a lot of the discussions and feedback out of email, which can easily be lost in translation or emails missed as multiple people reply in such a short time frame or so quickly together. Having specific actions and being able to see exactly what people are referring to. Having an easy to refer to portal for when clients approve items and the ability to have multiple people approve before it's finally completed just has the next level of checking.

We use Ziflow to get quick approvals on documents, flyers, and other materials that are sent out to our residents. Ziflow helps us solve the problem of going back in forth in emails. It is very simple to use Ziflow, make comments and suggest changes to get quick approvals, and move things along to the residents. I have used Ziflow as an admin and as a user. Both experiences have been great!

I have used Ziflow for detailed letters, and for community event invitations. In both of these cases, Ziflow has been a great way to receive feedback and make changes to getting an approved document. I first used Ziflow as a review to look over community maps and make changes. The back and forth process through email was getting to be too much, so Ziflow helped free up some emails, and get straight to the point of what needs to be corrected and edited. I have enjoyed using Ziflow!

We currently use Ziflow to assist in getting approval of designs from our customers. The problem we were solving was that our original process was time-consuming to set up the proof to send to the customer. Ziflow helps us save time from doing repetitive tasks that we were doing before. We use Zillow for approval of documents for printing.

I didn't know about Ziflow until I started my current job. I was used to emailing PDFs to our team members for each of them to mark up separately. Not only was it time-consuming, there were also always problems with version control. Ziflow is perfect because all team members can review the latest work together. There is never a question of whether you're reviewing the latest version/comments, and previous versions are also accessible with the click of a button.

  • There are an array of tools you can use to make sure your comments are clear (arrows, boxes, etc.)
  • There's also a feature where you can add attachments to further clarify your comments
  • Minor occasional glitches if you're not using the latest software. Personally I prefer the interface of the older version.
We use Ziflow to review all creative work -- anything from print and digital collateral, to emails, to digital/social ads, to PPT presentations. It is perfect for any projects that go through several reviews and rounds of feedback and that have multiple people involved. This is because it ensures you're always reviewing the latest version, seeing comments/feedback from all team members, able to communicate with team members directly on the file, and able to easily reference previous versions.

I manage the projects for my creative team. We needed a program that allowed us to work with our clients efficiently and effectively. Ziflow is a great tool to get all of our feedback in one spot from everyone on the client team. Most clients love to use it, others are a bit old school but coming around. It's way easier than back and forth emails or using a PDF with comments.

  • Comparing previous versions to the newest release. Seeing the work the team has done, that we listened to the client, and they can truly think about the changes.
  • Some clients have a harder time using/accepting the tool, we created a 1 pager that narrows down the "how-to" in 3 easy steps for when they get started.
  • Ziflow can do A LOT. I feel like I'm learning something new each time I use it. Some of the things I don't truly understand and support could use some help in explaining them.
Ziflow works for us because we are a creative team. We create everything from a nicely designed PDF to a fully animated motion story, and everything in between. My writers still prefer word/pdf with comments directly on it because they can make the changes right there and check them off. Ziflow is great for the back and forth of art and changes that are not made in the piece directly.

Ziflow allows us to seamlessly share proofs to our external customers and receive feedback without shooting a bunch of emails back and forth. It's user friendly and the user experience has been well received by our customers. What's critical is that there is a documented exchange that we can refer to, and none of the changes are left to interpretation. We no longer have to rely on manual communication between phone and email for the information we need.

We use Ziflow as an artwork review tool. Once a marketing asset is created, it routes through the various teams (art, copy, editorial, account) until the artwork is approved internally then it goes to the client for approval.

I use Ziflow to route and manage all of our Marketing department materials for general review and approvals. When our department creates materials that promote the company, we use Ziflow to present to all stakeholders, ensuring the integrity and viability of all projects.

  • Ziflow makes it easy to upload materials for review into its system.
  • I would like to see a bit more clarity in its archive system. It is not necessarily straightforward or intuitive.
  • I'm not sure if files can be easily deleted.
Ziflow is excellent at keeping track of user/reviewer comments and altering my team about those comments. It's easy to approve or reject a project and provides enough nuance to the end-user as to the reasons why a decision was made. I love this. I also like the fact that I can create PDFs of every transaction for my records. It may not be exactly clear as to how the archiving system works, but to be fair, I haven't spent a lot of time studying the archiving system.

Our team has been working remotely for two years and counting. We use Ziflow as our main proofing tool as it allows us to collaborate seamlessly with our team members: designers, copywriters, etc. The range of options and functionality of markup tools makes it easier to communicate visually without the need to go on a call or face-to-face meeting.

It fits our needs perfectly and we were able to deploy and integrate it into our systems in a single day. It's best for small teams that are used to working with multiple apps. It probably won't be as appropriate for huge teams that want all of their communications, project management, proofing, etc to live in a single app.

We use Ziflow to organize our reviews with our clients. Websites and also print products always have errors or the customer imagines many things differently. Often they cannot describe where the problem is but even want to demonstrate it. We hate paper and post-its, we suffer from many unattributable screenshots. And even if Adobe developed a PDF-based review, this is complicated to handle for our clients. We need easy sharing, easy inviting, easy handling for our clients. This is why we invented this online-review tool, nobody needs to be registered and you have access from everywhere. It's super time-saving now.

I Love Ziflow!

We use Ziflow to route internal documents to several people in the team structure (25+ people) to consolidate feedback quickly.

I am coming from a very manual system before my time here, I love that I can schedule tasks to waterfall from each other. I love being able to set up groups for easy proofing setups. Ziflow works great when the routing needs to happen in a straight line, but for us it doesn't work so well when multiple people need to review together and see what the others are doing.
